Terms and Conditions

Eagles Basketball Club – Terms and Conditions


By registering a participant for an Eagles Basketball Club program, event, tryout, training session, camp, house league, clinic, team activity, game, or tournament, the parent/legal guardian confirms that they have read, understood, and agreed to the following Terms and Conditions.

1. Registration and Payment

Registration is confirmed only once the required registration information has been completed and payment has been received. Eagles Basketball Club reserves the right to refuse, cancel, or place a registration on hold if information is incomplete, payment is not received, the participant does not meet program requirements, or there are safety, conduct, capacity, or operational concerns.
 

2. Program Schedule and Changes

Eagles Basketball Club makes reasonable efforts to provide accurate program dates, times, locations, coaches, and details. However, schedules may change due to facility permits, gym availability, league or tournament schedules, coach availability, registration numbers, weather, emergencies, or operational needs.

The Club may modify program dates, times, locations, coaches, groupings, or training format when necessary.
 

3. Facility Rules

Participants and families must follow all facility rules, including rules set by Eagles Basketball Club, the Health and Active Living Plaza, schools, community centres, tournament facilities, and other partner locations. Participants and families must respect the facility, staff, equipment, athletes, coaches, officials, spectators, and other facility users.
 

4. No Guarantee of Placement, Selection, or Playing Time

Registration in a program, clinic, camp, tryout, or training session does not guarantee selection to a team, placement on a specific roster, playing time, league participation, tournament participation, or future registration priority. Team selection, player placement, and playing time decisions are made at the discretion of Eagles Basketball Club.
 

5. Refunds and Cancellations

Eagles Basketball Club plans programs based on confirmed registrations, facility permits, coach scheduling, league and tournament commitments, insurance, administration, and operating costs. For this reason, refunds are limited once registration is completed. Refund requests must be submitted in writing by email.

Approved refunds may be subject to a non-refundable administrative fee of up to $50.00, plus any non-refundable payment processing fees. Refund requests received before the program begins may be considered, subject to administrative fees and any costs already committed by Eagles Basketball Club.

 

A refund is not guaranteed and will depend on the timing of the request, program type, registration demand, and whether the spot can reasonably be filled. Once a program has started, refunds will generally not be provided. Missed sessions, absences, vacations, schedule conflicts, illness, transportation issues, change of mind, or withdrawal after the program begins do not qualify for a refund. Tryout fees are non-refundable once registration is completed, except where Eagles Basketball Club cancels the tryout and does not offer an alternate date or option.
 

6. Medical Withdrawals

Medical withdrawal requests may be reviewed on a case-by-case basis. Eagles Basketball Club may request medical documentation before considering a refund or credit. If approved, any refund or credit may be prorated and may exclude administrative fees, payment processing fees, uniform costs, league fees, tournament fees, insurance costs, or other committed expenses.

7. Program Cancellation by Eagles Basketball Club

If Eagles Basketball Club cancels a program before it begins and does not provide a suitable alternative, the Club may provide a refund, credit, or transfer option. If a session is cancelled due to facility closure, weather, emergency, permit issue, or circumstances beyond the Club’s control, Eagles Basketball Club will make reasonable efforts to reschedule where possible. Refunds are not guaranteed for circumstances outside the Club’s control.
 

8. Assumption of Risk

I understand that basketball and sports training involve physical activity and carry inherent risks. These risks may include, but are not limited to, falls, collisions, contact with other participants, injuries from equipment or playing surfaces, sprains, strains, bruises, fractures, concussions, illness, overuse injuries, or other physical harm. I understand that injuries may occur even when reasonable safety precautions are taken. I voluntarily allow the participant to take part in Eagles Basketball Club activities and accept the risks associated with participation.
 

9. Release of Liability

To the fullest extent permitted by law, I agree to release and hold harmless Eagles Basketball Club, its directors, officers, coaches, contractors, volunteers, staff, representatives, partners, sponsors, facility owners, facility operators, and affiliated organizations from claims, demands, damages, losses, costs, or expenses arising from the participant’s involvement in Eagles Basketball Club activities, except where prohibited by law.
 

10. Medical Fitness and Emergency Consent

I confirm that the participant is physically able to participate in basketball activities. I agree to disclose any relevant medical conditions, allergies, injuries, limitations, medications, or special considerations that may affect the participant’s safe participation. In the event of an injury, illness, or emergency, I authorize Eagles Basketball Club coaches, staff, contractors, volunteers, or representatives to seek or obtain emergency medical assistance for the participant if reasonably necessary. I understand that Eagles Basketball Club does not provide medical diagnosis or medical treatment beyond basic first aid and emergency response.
 

11. Concussion Acknowledgement

I understand that concussions are serious injuries. If the participant experiences signs or symptoms of a concussion, or is suspected of having a concussion, the participant may be removed from activity. I understand that the participant may be required to obtain medical clearance before returning to participation. I agree to support Eagles Basketball Club’s concussion safety expectations and return-to-play decisions.
 

12. Athlete Code of Conduct

Participants are expected to:

  • Respect coaches, teammates, opponents, officials, parents, facility staff, and volunteers.

  • Follow coach instructions and facility rules.

  • Participate with effort, focus, discipline, and sportsmanship.

  • Avoid bullying, harassment, discrimination, intimidation, or unsafe behaviour.

  • Respect equipment, uniforms, facilities, and Club property.

  • Represent Eagles Basketball Club in a positive and respectful manner.

 

Eagles Basketball Club may remove, suspend, or dismiss a participant from activities if conduct is unsafe, disrespectful, harmful, disruptive, or inconsistent with Club expectations.
 

13. Parent/Guardian Code of Conduct

Parents and guardians are expected to:

  • Communicate respectfully with coaches, athletes, officials, other parents, facility staff, and Club representatives.

  • Support a positive, safe, and development-focused environment.

  • Avoid disruptive sideline behaviour.

  • Avoid confronting, criticizing, intimidating, or harassing coaches, officials, athletes, or other families.

  • Raise concerns through appropriate Club communication channels.

  • Respect team selection, playing time, coaching decisions, and Club policies.

 

Eagles Basketball Club may restrict parent/guardian attendance or involvement if conduct is disruptive, aggressive, abusive, unsafe, or harmful to the Club environment.
 

14. Media Consent

I grant Eagles Basketball Club permission to photograph, record, and use images or videos of the participant taken during Club activities for promotional, educational, social media, website, advertising, community, and organizational purposes. This may include use on Eagles Basketball Club’s website, social media pages, printed materials, digital advertisements, newsletters, presentations, posters, and other Club-related communications. The participant’s full name will not be used publicly without additional permission, unless required for team rosters, league registration, tournament administration, or other official basketball-related purposes.
 

15. Privacy and Communication

I understand that Eagles Basketball Club may collect and use registration information, parent/guardian contact information, athlete information, emergency contact details, and relevant health or safety information for program administration, safety, communication, registration, and operational purposes.

Eagles Basketball Club will use reasonable efforts to protect participant information and will not sell personal information to third parties. Official Club communication may be sent by email, registration platform, team communication platform, or other Club-approved channels.
 

16. Agreement

By completing registration, I confirm that I am the parent/legal guardian of the participant and that I have authority to provide this consent. I confirm that I have read, understood, and agreed to Eagles Basketball Club’s Terms and Conditions, including payment and refund terms, waiver and assumption of risk, code of conduct, media consent, privacy, and communication terms.
